Billing Policy

This Billing Policy governs the financial transactions, subscription models, and payment processing procedures associated with Senchabot's paid services. By subscribing to Senchabot, you acknowledge and agree to these billing terms.

1. Payment Processing

All transactions are securely processed through our authorized merchant of record, Polar. By initiating a purchase, you agree to Polar's checkout and payment processing terms in addition to this Billing Policy. Senchabot does not directly store your credit card information.

2. Subscription Lifecycle

  • Advance Billing: All paid plans (Pro and Supporter) are billed in advance on a recurring schedule.
  • Billing Cycles: Subscriptions are available on standard monthly or quarterly (three-month) cadences.
  • Auto-Renewal: To ensure uninterrupted service, your subscription will automatically renew at the end of each billing cycle unless you affirmatively cancel it prior to the renewal date.
  • Single Active Subscription: Customers are limited to one active subscription at a time per account.

3. Taxes and Compliance

Tax calculation and collection are dynamically handled at checkout based on your billing jurisdiction.

  • Applicable consumption taxes (e.g., VAT, GST, Sales Tax) will be added to the base subscription price as required by local laws.
  • The final amount, including calculated taxes, will be displayed prior to the completion of your purchase.
  • Business customers may provide a valid Tax ID (such as a VAT number) during checkout to apply appropriate reverse-charge mechanisms, where legally applicable.

4. Plan Upgrades and Downgrades

You may change your subscription tier or billing frequency at any time through the billing portal.

  • Immediate Effect: Changes to your plan take effect immediately.
  • Proration: We utilize a strict proration model. Any unused time from your previous plan will be credited against the cost of your new plan. If the new plan is more expensive, an immediate invoice will be generated for the difference.

5. Cancellation Policy

You retain the right to cancel your subscription at any time via the billing portal.

  • Cancellation stops future recurring charges but does not automatically trigger a refund.
  • Your plan access will remain active until the conclusion of your current, fully paid billing cycle.

6. Refunds

Refunds are strictly governed by our Refund Policy. Please refer to that document for detailed information regarding statutory rights (such as the EU 14-day right of withdrawal) and discretionary refund windows.

7. Payment Failures and Account Suspension

If an automatic renewal payment fails (e.g., due to an expired card or insufficient funds), our billing processor will automatically attempt to retry the charge. Please note that paid plan benefits are revoked immediately upon a payment failure. Your account will be downgraded to the free tier during the retry process, and paid features will only be restored once the balance is successfully settled.

8. Pricing Modifications

Senchabot reserves the right to modify subscription pricing. We will provide a minimum of thirty (30) days' notice via email prior to any price increase affecting active subscriptions. Continued use of the service following the price change constitutes your acceptance of the new rate. Price changes do not apply retroactively.
